Students Admission - Terms and Conditions

Rules Governing Admission

  • Admission to the school is based on merit i.e., performance by the candidate in the oral and written aptitude test, irrespective of his/her caste, creed or community.
  • The admission and first installment fee has to be paid to the school within the stipulated time (as mentioned in the letter admission), failing which the admission would be withdrawn and preference would be given to the candidate who is next in the merit list.
  • Once the fees are paid, the candidate is provisionally admitted to the school and admissions will be finalized only after the parents submit the “Original Transfer Certificate” from the previous school.
  • The original school leaving certificate from the previous school should be submitted before 15th of June of the academic year in which the student is admitted to Abhyasa.
  • If the Transfer Certificate is not submitted within the required time, the provisional admission will stand cancelled and under such circumstances, any kind of fee already paid to the school will not refunded to the student / parent.
  • Admission for candidates, who fail to join school for whatever reasons, does not hold good for the successive academic years and the admission fee, caution deposit and school fee are neither refundable nor transferable.

Rules Governing Withdrawal

  • Withdrawal of admission by the school

    • The head of the institution reserves the absolute right at his discretion, to issue Transfer Certificate to any pupil, if:
      • He is not satisfied with the general conduct of the student, on the campus (or)
      • The student is absent from the school campus without sanction of leave, for more than a week, during the session/term. (or)
      • The student is found to practice unfair means in tests and exams.
    • If the parents/ guardians fail to pay the subsequent installments of the school fee on time, their child/ ward is liable to be withdrawn from school, after giving due notice to the parent/ guardian regarding the same. Under such circumstances the caution deposit will be forfeited and Transfer Certificate will not be issued till the dues are cleared.
    • If it is discovered at the later date that any of the information furnished by the parent/ guardian in the application form (including Medical History sheet) is false, the Principal has the right to cancel the admission.
    • If it is found that the student does not put in the minimum efforts to score the qualifying marks for promotion, in spite of the best efforts of his/her teachers, the Principal may terminate the admission of such students, after issuing a warning.
    • In matter of admission and issue of “Transfer Certificate” the decision of the Principal is final and binding on the parents/guardians of the student concerned.

    Withdrawal of child by parent / guardian

    • Parent/ Guardians intending to withdraw their child / ward from the school should apply for a Transfer Certificate (T.C.)
    • The application for Transfer Certificate should be made in writing by the Parent or the authorized guardian of the pupil, along with a fee of Rs. 100/-
    • Transfer Certificate will be issued to those students whose fees and dues have been fully paid for the academic year in which the T.C. is sought.
    • Application for Transfer Certificate should be made only in the month of February or March. Applications for T.C. will not be accepted after March 31st or the last working day of academic year.
    • Parents who apply for a Transfer Certificate after the above-specified date are liable to pay a terms fee for the succeeding academic year.
    • If a Transfer Certificate is sought during the currency of an academic year, the Certificate will be issued only when the regular school fees for the full year is duly paid.
    • Transfer Certificate will not be issued to students withdrawn after completion of class IX.

    Refund of Caution Deposit

    • Caution deposit will be refunded to parents/guardian when the student leaves the school:
      • On completion of his studies at school (or)
      • At the end of any academic year, if the parents/ guardians of the child wish to withdraw the child from school (or)
      • Upon being expelled from school on disciplinary grounds.
    • Caution deposit will be refunded to the parent/ guardian only at the end of an academic/accounting year i.e., after March 31st Caution deposit will not be refundable during the currency of an academic year, except in the month of April.
    • Parents who withdraw a student after class IX will forfeit their caution deposit unless the school has a new admission as a replacement for the outgoing student in class X of the succeeding academic year.
    • If the parents fail to collect the caution deposit money within one year of the pupil’s withdrawal from the school, the amount will be forfeited.
    • Caution Deposit is refunded through cheques issued in favour of parent/first guardian of the student – Refunds are made on written requisitions by the parent/guardian – who need to personally collect the cheque and acknowledge receipt of the same. The school does refund caution money through D.Ds only, but not through cash/mail transfers.

School Uniform & List of Articles

  • All the newly admitted students need to get the school uniform tailor made only from the ‘uniform supplier’ authorized by school. The details of the authorized uniform supplier to be taken by the parents at the time of admission procedure itself.
  • The uniform supplier will also be available on the school campus on all the days of ‘Aptitude Test’for new admissions held during the months of February, March, April and June and also on all the days of school reopening as well as on the days when the children leave the campus during term-end vacations i.e. during October/April.
  • The orders from the parents of newly admitted students will be taken only after the first installment of the school fee is made and upon producing the student’s admission number’.
  • The school will not accept any direct payments for the school uniforms. All the payments by the parents towards school uniform should be made directly to the uniform supplier either by Demand Draft or by cash.
  • The following is the ‘List of School Uniforms’ to be ordered for the newly admitted students.

ADMISSION NUMBERS SHOULD BE STITCHED WITH RED COLOUR THREAD ON ALL CLOTHING.
THOSE CHILDREN WITH BEDWETTING HABIT WILL CARRY RUBBER SHEET (6 FT X 3 FT) AND THIN CIVIL BED SHEET.
CLOTHES ARE MACHINE WASHED. SO THEY SHOULD BE DURABLE AND WITH FAST COLOUR.

Procedure to follow on Reporting Day

Procedure to be followed on Re-opening Day of the School – For new students.

Procured the Transfer Certificate from previous School and also made ready the list of Articles and Clothes (mentioned in the School Handbook & Website) Please note that the Student’s Admission number is stitched on all civil clothes, undergarments and night dress to ensure that your Child’s clothes are not lost in the School Laundry – Admission number should also be marked with a water-proof marker on all Articles brought by the Student.

You are required to reach the campus as mentioned in the admission letter and complete the following procedures while admitting your child to Abhyasa. The sequence is as follows:

Counter No.1

  • Submission of Transfer Certificate issued by the previous school, Medical History Sheet of the student (Counter Signed by your Family Doctor/Medical Officer) and any other pending Documents not submitted to the School, at the time of Dates of Entrance Test / Interview – such as Mark Sheets of previous School, Photographs of Student/Parents, Income/Salary Certificate etc..

Note: Admission of the Student will not be complete until the submission of Transfer Certificate.

  • After submitting all of the above, you can collect the ‘Dormitory-Token’ (consisting of Dormitory name, Building, Cupboard number, Matron-Incharge etc…) and proceed to Counter No:2.

Counter No.2

  • Check your Phone numbers and Address in the School Records and validate the same.
  • Collect the phone numbers and Call Timings and Procedures – To be followed by the Parents every week – For making phone calls to your child/ward at Abhyasa.
  • Anusandhaan User-ID & Password : Will be Issued
  • Collect the Identity-Card of your child – that has to be brought to the School along with the Parents/Guardians for Security Identification – whenever you happen to visit to School in future.
  • Collect the Contact List of School Officials and the School Calendar of Events.
  • A Student Volunteer will assist you to proceed to the Uniforms Counter and then the allotted Dormitory and Cupboard.

Uniforms Counter

If the Parent has already paid the Uniforms Fee much in advance, the sets would be ready for collection. 3 sets of Uniforms, School Tie, School Blazer, 3 sets of Evening Uniforms and 3 sets of Games Uniforms – should be collected from the Supplier and handed over to the Respective Dormitory Matron.

If Uniform Charges have not yet been paid to the Supplier, it should be done so immediately, and it would take at least a week’s time for the supplier to deliver the Uniforms to the Student.

After collecting the Uniforms, the Student Volunteers would guide you to the respective Dormitories

At the Dormitory

  • The Matrons/Teacher-Incharges would make a note of all the Articles and Clothes brought by the Students and the list will be counter-signed by the Parent and the Matron Incharge.
  • Dormitories and Cupboards are allotted to Students to ensure a harmonious collective living. Parents are requested not to make any requisitions for shift in Dormitories so that Students belonging to same Families, Localities, Cities and Regions are accommodated together.
  • Any change if absolutely necessary will be done later – for which a requisition should be submitted to the Rector of Abhyasa School, after settling the Cupboard of your Child/Ward.

Meeting for all the New Parents at the School Auditorium will be conducted. The Meeting would last for about an hour and parents would be explained about the various Systems and Procedures at Abhyasa – Especially on the usage of Anusandhaan Portal.

The notebooks and the Text books would be issued to the Students next day in the class rooms. All parents should ensure that they adhere to the timings and procedures stated herewith – to ensure that all formalities are completed smoothly. If Parents are reaching the School at other odd times, the School Officials will not be able to assist them. Parents should leave the School Campus immediately after the meeting, to enable the students settle-down in their new environment. Parents should Cooperate with staff/student Volunteers/School Security and follow their Guidelines. In case of any difficulty please contact the Principal for redressal of the problem and please do not argue with the Staff/Security.
